Privacy policy

What this website collects, why, and what you can ask us to do about it. Last updated 2 October 2026.

Who we are

This website promotes Abide CRM, a product of Virtualware Solutions. In this policy, "we" and "us" mean Virtualware Solutions. We decide why and how your information is used, which makes us the data controller.

To contact us about privacy, use the request form and say it is a privacy request.

What we collect

What you give us. When you send the demo request form we receive your name, work email address, and anything you choose to add: firm name, firm size, what you are interested in, and your message.

What your browser sends automatically. Like every website, our server receives your IP address, browser type, the page you asked for and the time. Our hosting keeps this in ordinary server logs for security and troubleshooting. We also count requests from your IP address, in memory only, to stop automated abuse of the form.

What we do not collect. We do not run advertising or analytics trackers on this website, and we do not build profiles of visitors. We do not ask for payment details or tax information here. Please do not put client or tax information in the message box.

Why we use it, and our legal basis

PurposeLegal basis (GDPR and UK GDPR)
Reply to your demo request and arrange a walkthroughSteps you asked us to take before a contract, and our legitimate interest in answering enquiries
Keep the form and website secure and free of spamOur legitimate interest in security
Follow up about Abide CRM after your requestOur legitimate interest in responding to someone who asked about the product

We do not send marketing email to people who have not asked to hear from us. We never sell your information.

Who receives it

  • Our team at Virtualware Solutions, who read and answer your request.
  • Microsoft, whose Office 365 email service carries the notification of your request to our team and the replies we send you.
  • Our hosting and database providers, who store the website and the requests you submit on our behalf.
  • Google Fonts. The website loads its typefaces from Google, so Google receives your IP address and browser details when a page loads. See the cookie policy.
  • Authorities, only where the law requires us to disclose information.

These providers may process information outside your country, including in the United States. Where the law requires it, we rely on safeguards such as standard contractual clauses.

How long we keep it

We keep a demo request for as long as we need it to answer you and to manage any resulting relationship, and we delete it when you ask. Server logs are kept for a short period and then removed. We have not set a longer period, so if you want something removed sooner, ask.

Your rights

Depending on where you live, you can ask us to:

  • tell you what we hold about you and give you a copy;
  • correct information that is wrong;
  • delete your information;
  • restrict or stop us using it, including objecting to our legitimate-interest uses;
  • give you your information in a portable format.

Send a request using the contact details above. We may need to confirm it is really you before we act, and we aim to answer within one month. If you are unhappy with our answer you can complain to your data protection authority, such as your national regulator in the EU, the Information Commissioner's Office in the UK, or your state attorney general in the US.

California and other US states

We do not sell your personal information and we do not share it for cross-context behavioural advertising. Residents of California and some other states have rights to know, correct and delete their information, and not to be treated worse for using them. Use the contact details above to make a request.

Security

The website is served over an encrypted connection, the form is protected against forgery and automated abuse, and access to the requests we store is limited to the people who need it. No system is perfectly secure, so please share only what you are comfortable sending by email.

Children

This website is for businesses. It is not directed at anyone under 16, and we do not knowingly collect information from children.

Links to other websites

If we link to a website we do not run, its own privacy policy applies there, not this one.

Changes

We update this policy when the website changes in a way that affects your information, for example if we add analytics. The date at the top shows the latest version.
